Essential Duties and Responsibilities:

  • Handles confidential material relevant to company operations.

  • Coordinates management meetings, conferences, invitations, events, and interviews.

  • Develops and delivers pristine presentations, reports, and copy to address varying audiences.

  • Conserves executives’ time by reading, researching, and routing correspondence; drafting communications and documents; collecting and analyzing information; initiating telecommunications.

  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

  • Serves as point of contact to people inside and outside of company.

  • Arrange travel itineraries, both domestic and international.

  • Collaborates with various staff and departments in preparing special projects. May lead some small-medium projects.

  • General administrative duties (e.g., taking detailed minutes) and special projects with occasionally shifting priorities.

  • Exhibit a high level of customer service orientation by meeting deadlines with high quality output.

  • Exercises discretion and independent judgment in the performance of duties.

Qualifications

Required Experience

Skills & Ability:

  • Excellent communication and interpersonal skills.

  • Thorough knowledge of administrative practices and procedures; knowledge of international protocol desirable.

  • Ability to solve problems and think quickly under pressure.

  • Professional appearance and presentation.

  • Able to handle high-level confidential information.

  • Highly organized and attention to details is a must!

Education

  • Bachelor’s or Associate degree in business, technology, or related field desired, not required.

  • 5 or more years of supporting Executive-level roles in a corporate setting.

  • Must be comfortable working in a fast-paced, high-demand environment.

  • Proficiency in Microsoft Office applications: Word, PowerPoint, Excel, PowerPoint, and Outlook.

  • An understanding of Technology organizational structure, domains, and roles is a strong asset.

  • Ability to interact with senior level executives.
