Position Summary:

A qualified, motivated individual to provide high level administrative

support and perform a wide range of secretarial duties for four members of the

Bank’s Legal Department. Often will work

closely with the attorneys on complex and sensitive matters, requiring tact and

discretion, but must be able to work independently or within a team on special

projects. Attention to detail is

critical. Must have an adaptable and

flexible work-style, able to perform in a fast-paced setting, with a proven

ability to handle competing demands and priorities. Regular and reliable attendance are essential.

In this role, you will :

  • Handle the day-to-day administrative dutiesarising from the work of the Legal Department’s Deputy General Counsel and threeother attorneys in the Legal Department.

  • Input, format and revise attorney work product,including Word documents (letters, memoranda, reports), PowerPointpresentations, Excel spreadsheets and SharePoint documents, ensuring accuracyin the final product.

  • Assist in producing a large volume of monthlyand quarterly reports.

  • Open, update and close matters on the LegalDepartment’s matter management system.

  • Handle the electronic filing of emails,correspondence, memoranda and other information in the Legal Department’sdocument management system or other filing databases.

  • Extract data from the Legal Department’s systemsin order to create reports and visual graphics.

  • Compose letters and memoranda based on verbaldirection from the attorneys or knowledge of the Legal Department’s proceduresand practices.

  • Meet and greet visitors, clients and regulators.

  • Schedule and coordinate meetings, includingDepartment-wide meetings, conference calls and video conferences.

  • Receive,screen and handle telephone calls.

  • Arrangedomestic and international travel, prepare travel itineraries and prepare expensereports.

  • Ensurethat a large number of electronic and paper files are organized and current.

  • Maintainsupplies inventory by checking stock, anticipating needs and ordering supplies.

  • Sortand distributeincoming mail to attorneys and staff, dispatch outgoing mail and overnightpackages.

  • Perform generalclerical duties, including copying.

  • Inputdata into theBank’s systems.

  • Maintain anddistribute the monthly attorney calendar.

  • Stay current on allrequired Bank training.

  • Perform otherduties as assigned.

Qualifications

Required Educationor Equivalent Experience

  • Associate’s degree (or equivalent).

  • 5 years of administrative experience.

  • Demonstrated ability to work on own initiativewith little direction, to identify issues requiring attention or escalation.

  • Legal department or law firm experiencepreferred.

Required Administrative/Technical Skills

  • Fully conversant with the Microsoft Office suiteof products, including Outlook, Word, PowerPoint, Excel, SharePoint and Visio.

  • Analytical skills and research capabilities.

  • Mathematical skills, including compilation ofdata and balancing of figures

  • Planning, scheduling and organizational skills.

  • Composition and proofreading skills, with strongattention to detail and accuracy.

  • Written and verbal communication skills

  • High level of professionalism

  • Secretarial skills, e.g., typing, filing andanswering phones, including business telephone protocol.
