Position Summary:

Our Growth and Transformation department is looking for a highly motivated Administrative Assistant to join our team in

our San Francisco office!

This individual will

have the opportunity to work cross-functionally throughout the organization

with various business units on a variety of exciting projects.

Job Description Summary

Responsible

for primarily performing advanced, complex, diverse and confidential

administrative support duties and secondarily performing operational support

duties to the head of Strategy and Operations for Growth and Transformation.

Requires thorough working knowledge of unit practices, policies, programs, business

requirements and organization of the bank. Assignments include initiation of,

or participation in, various projects, including researching information,

providing analysis, and compiling data to convey relevant information. Must be

highly organized and demonstrate tact, diplomacy, discretion, independent

judgment, and initiative on assignments and communications of a highly

sensitive nature.

Essential Job Functions

Operational:

Inputs and retrieves

data utilizing knowledge of various software packages. Gathers information

and synthesizes correspondence, reports, memoranda, special projects, and

related materials for team.

Initiates and

researches information, compiles statistics, gathers, analyzes, and

summarizes data and reports for projects, trends and status reports. May

assist in preparation of budget.

Support all-hands

coverage - drafting presentation framework, gathering materials, generate and

report tracking, overall program management

Maintain onboarding and

off boarding processes and protocol as well as keeping various documents up

to date such as team org chart.

Periodic event planning

to include off-sites, team gatherings

Administrative:

Administrative support

for several executives that may include preparing and processing purchase

requisitions, vendor invoicing, expense reports, etc.

Tracking and assisting

in the day-to-day administration and operations for the CMO and Growth and

Transformation Leadership team including Corporate, Social Responsibility,

Customer Experience, Digital, Marketing and Communications Teams.

Update monthly and

quarterly reporting by project managing process, gathering updates and

updating across dashboards and leadership readouts, etc.

Advanced personal

computer skills necessary to format reports, build presentations,

spreadsheets, graphics, et cetera. Strong PowerPoint and formatting skills a

must for document and presentation development and review.

Extensive calendar

management, including the prioritizing and scheduling of meetings across

multiple time zones and teams to ensures that time is used efficiently and

effectively. Schedules and coordinates meetings and facilities which may

include travel and lodging arrangements. Tracks team PTO and other

engagements for high-level overview.

Coordination of

marketing/business development materials for presentations between Bank of

the West and its parent company, BNP Paribas.

Highly organized and

able to effectively manage multiple projects, workstreams, and

responsibilities and follow up on deadlines and requests.

Periodic research of

topics, guest speakers and workshops to help support leadership development

Receives and screens

telephone calls, mail, and visitors. Routes callers, take messages, and

answers questions relating to the unit's function. May interact with Company

clients to schedule appointments, answer questions, and resolve moderately

complex issues. May act as information source for the unit.

Decision Making:

Serve as a gatekeeper

for Executives while proactively prioritizing active projects and priorities

Able to easily transition between strategic

and operational mentalities, as appropriate, when managing tasks.

Demonstrated ability to

work on own initiative with little direction, to identify issues requiring

attention, and to initiate and manage complex projects.

Act as cultural liaison

for the group when onboarding permanent and temporary team members,

contractors, and consultants.

Ability to assess

issues strategically and present solution oriented suggestions and approach

Other Job Duties

  • Complete understanding of the policies, practices, andfunction of the business unit.

  • Performs special assignments and project work asneeded.

  • May take minutes of staff meetings.

  • Performs other duties as assigned.

Qualifications

Required Experience

  • Requires basic job knowledge of systems and proceduresobtained through prior work experience or education.

  • Requires 5 years minimum experience.

  • May require vocational or technical education inaddition to prior work experience.

Education

  • Associate's Degree

Skills

  • Working knowledge of general office

procedures with demonstrated administrative and basic operational skills.

  • Advanced personal computer skills necessary

to format reports, presentations, spreadsheets, graphics, et cetera.

  • Demonstrated ability to work independently

and plan and manage short-term, moderately complex projects.
