Job Description Summary:
The Facility Management and Project Management Lead has the overall responsibility for overseeing the implementation of policies, procedures and programs that align with the goals and objectives of the Bank. The position is the primary liaison with service provider(s) to assure well-managed, well-maintained buildings and facilities, placing maximum emphasis in the positive response to the concerns and needs of the Banks occupants, environmental health and safety, and sustainability programs. The FM and PJM Lead also has responsibility for the overall financial and KPI performance within the respective portfolio. This position will report into the Head of Corporate Real Estate Delivery and Operations under the Enterprise Business Services group.
The Bank of the West real estate portfolio is comprised of 700 sites, 5M sq. ft. of owned and leased facilities across 25 states and houses approx. 9,000 employees.
Ensure all facilities are operated and maintained in alignment with established standards and procedures. Further develop standards and procedures as business and internal customer needs evolve.
Develop, implement and oversee a multiyear Maintenance Program, both for Office buildings and Branches, coordinated with third party service provider.
Responsible for keeping process workflows that meet the needs of the organization.
Accountable for meeting regulatory and compliance requirements related to services under hers/his control.
Daily management of the FM vendor performance, ensuring services are delivered in accordance with the contract and agreed SLAs.
Drive initiatives with the vendor(s) such as savings programs, benchmarking, best practices and continuous improvement.
Owner of the FM weekly and monthly reporting to CRE leadership to include updates on transactions, projects, and operations that affect the sites.
Provide leadership to the vendor Project Manager team.
Support the development of capital budget plans with internal leadership and service provider partners.
Provide general oversight, leadership and technical direction from the BOTW perspective.
Identify project risks, develop risk mitigation and contingency plans, and implement action plans to reduce or eliminate project risks.
Assist senior management to negotiate major revisions in time commitment, execution and resource allocation.
Act as liaison, problem solver and facilitator, between vendor PMs and BOTW internal clients.
Accountable for the development of project documentation, as well as its handover to the FM team.
Facilitate sharing of project outcomes and best practices.
Execute as per the approved budget.
Quality control of executed work.
Support the BOTW EHS program; ensuring the FM and PjM compliance with all health, safety, environment and risk management policies and procedures.
Support the BOTW Sustainability program; ensuring the FM and PjM alignment with identified objectives.
Other Job Functions:
Leverage and partner with Site Leaders and/or Business Unit Managers providing leadership and knowledge to sustain consistencies across the Bank portfolio.
Coordinate internal resources and third parties/vendors for the execution of projects.
Report and escalate to management as needed.
Perform other related duties as assigned.
10 years of facilities experience in corporate, third party service provider or consulting.
Proven record of success managing corporate real estate encompassing the management of a diverse regional portfolio across both leased and owned properties.
Multi-site retail experience with Facility and Project Management required.
Familiarity with financial services industry compliance and regulatory requirements
BA/BS degree or equivalent work experience in facilities management with management/technical emphasis. MBA a plus.
Any IFMA professional certification is a plus, such as FMP or CFM.
Uses business knowledge, innovative thinking, and sound judgment in the solution of problems or the pursuit of business opportunities.
Familiarity with and understanding of building systems/facility operations.
Ability to multitask and work without direct supervision.
Proficient in MS Office and CMMS systems.
Strong organizational skills and collaborative management style needed.
Financial skills and budgeting/forecasting experience.
Excellent communication, interpersonal and supervisory skills.
The ability to build strong, positive relationships with internal clients and external service providers.
Ability to lead teams to achieve goals and drive projects to completion on time and within budget
Management of distributed organizations including outsourced service providers
