Job Description Summary

Responsible for providing administrative support for the Mortgage Operations Executive, primarily performing advanced, complex, diverse and confidential support duties and secondarily performing administrative support duties. Works independently. Will require development of thorough knowledge of unit practices, policies, programs, business and organization of Bank of the West (the Bank). Must demonstrate tact, diplomacy, discretion, independent judgment and initiative on assignments and communications of a highly sensitive nature. May handle routine matters for the executives to allow concentration of effort on managing the Bank's business.

Essential Job Functions

  • Inputs and retrieves data utilizing knowledge of various computer software packages.

  • Composes correspondence, reports, technical papers memoranda; plans and executes special projects and related materials. Initiates responses to correspondence for senior executive or own signature.

  • Initiates and independently researches complex information requests, compiles statistics, gathers, analyzes and summarizes data for projects and reports, prepares the materials and determines method of presentation.

  • Schedules and coordinates meetings and facilities which may include travel and lodging arrangements.

  • Organizes and maintains files, correspondence, records and other documents for the executive and department that the executive role oversees.

  • May take minutes of meetings and maintains the final records of the meetings.

  • Furnishes and obtains information from other senior officers or outside clients and/or contacts.

  • Processes and maintains information of a highly complex and confidential nature dealing with issues of substantial importance to the Bank.

  • Performs other duties as assigned.



  • Bachelor Degree or equivalent work experience

Required Skills:

  • Requires 7 years minimum experience of general office procedures with demonstrated advanced administrative and secretarial skills

  • Prior experience supporting a c-level executive in a related or equivalent industry preferred

  • Advanced personal computer skills necessary to format reports, presentations, spreadsheets, graphics, et cetera.

  • Demonstrated ability to work on own initiative with little direction, to identify issues requiring attention, and to initiate and manage complex projects.

Working Location Statement

This position has the option to work in one of our key hubs (San Ramon, CA, Tempe, AZ, Omaha, NE) or to work remotely as long as it is in within our 26 state working footprint which includes AZ, CA, FL, GA, ID, IA, IL, KS, MI, MN, MO, NE, NV, NM, NC, ND, OH, OK, OR, SD, TX, UT, WA, WI, WY, NY.
